Introduction

TheBotDev ("we", "us", "our") operates Discord bots and the website at thebotdev.co.uk. This Privacy Policy explains what data we collect, why we collect it, and how you can manage it.

By using our bots or website, you agree to the collection and use of information as described in this policy. Our services operate under the Discord Terms of Service and Discord Developer Policy.

Age Requirement

Our services are intended for users who meet Discord's minimum age requirement (13 years or older, or the minimum age required in your country). We do not knowingly collect data from anyone under this age. The gambling features in our bots use virtual currency only and do not constitute real gambling.

Data We Collect

Discord Bot Data

When you interact with our bots, we store the following:

  • Discord User ID — identifies you as a player. Used to store your game data such as cash, items, achievements, scores, ranks, and settings.
  • Guild (Server) IDs — identifies servers where you have used the bot. Used to store server-specific configuration (custom currency name/emoji, command settings) and to track which servers you are active in for leaderboards and perks.
  • Command usage — records of commands used and game results for statistics and leaderboards.
  • Subscription and purchase data — your donator rank, patron rank, and chosen perks server are stored when you make purchases or subscribe.

Website Data

When you sign in to our website via Discord OAuth:

  • Discord profile information — your username, avatar, and Discord User ID are retrieved from Discord to display on the dashboard. This data is stored in a session cookie and is not permanently saved by the website.
  • Session data — a JWT session cookie is used to keep you signed in. No additional personal data is stored by the website beyond what is provided by Discord OAuth.

Data We Do NOT Collect

  • Message content
  • Email addresses (unless provided to Ko-Fi during a purchase, which is governed by Ko-Fi's privacy policy)
  • IP addresses
  • Discord passwords or authentication tokens

Third-Party Services

We use the following third-party services:

  • Ko-Fi (ko-fi.com) — processes donations, one-time purchases, and subscriptions. When you purchase through Ko-Fi, your Discord User ID (provided by you in the purchase message) is used to grant in-bot rewards. Ko-Fi's handling of your payment and personal data is governed by Ko-Fi's Privacy Policy.
  • Discord (discord.com) — our bots and website authentication operate through Discord's platform, governed by Discord's Privacy Policy.
  • top.gg (top.gg) and Discord Bot List (discordbotlist.com) — if you vote for the bot on either platform, your Discord User ID is sent to us via webhook to grant vote rewards.

We do not sell, trade, or otherwise transfer your data to any other third parties.

How We Use Your Data

All data collected is used solely for the operation of our bots and website:

  • Providing game functionality (tracking cash, items, scores, achievements)
  • Displaying leaderboards within your servers and globally
  • Applying donator and subscriber perks
  • Fulfilling purchases made through Ko-Fi
  • Displaying your profile and settings on the website dashboard

Data Retention

  • Player data is retained for as long as your account exists in our system.
  • Guild configuration is deleted when the bot is removed from a server.
  • Website sessions expire automatically and are not permanently stored.

Data Deletion

You can request deletion of all your data at any time:

  • Use the /delete_my_data slash command in Discord. This permanently deletes all player data associated with your Discord User ID. This action is irreversible.
  • Remove the bot from any server you manage to delete that server's configuration data.
  • Contact us in the Support Server if you need assistance with data deletion.

Data Security

All data is stored on secure servers with access restricted to authorised administrators. Database connections are encrypted in transit.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected by updating the date at the top of this page. Continued use of our services after changes constitutes acceptance of the updated policy.
